Many events look simple from the outside, but behind every successful program is careful planning, clear coordination, and the right technical setup. Small mistakes made early in the process can create bigger problems later, such as delayed schedules, poor audience experience, weak visuals, or technical failures on the event day. That is why event planning should always be treated as a step-by-step process, not something to rush at the last minute.

One of the most common mistakes is choosing the wrong venue without checking whether it suits the event size, stage requirements, seating arrangement, and AV needs. A venue may look good on paper, but if it does not have enough space for LED video wall setup, camera positions, sound equipment, or audience movement, the event can become difficult to manage. Organisers also sometimes ignore audience size, which leads to screens that are too small, poor visibility, or a layout that feels crowded and uncomfortable.

Another major mistake is skipping technical checks before the event begins. Even the best event idea can fail if the sound system, LED display, camera setup, or presentation laptop is not tested in advance. AV testing helps catch issues like poor signal flow, wrong screen resolution, missing cables, or audio delays before guests arrive. This is especially important for corporate events, live event coverage, conferences, and stage programs where timing and clarity matter.

Power backup is another area that is often overlooked. Events that depend on LED screen rental, lighting, and live broadcasting need a stable power supply and proper backup support. Without this, even a short power cut can interrupt the flow of the event and affect the audience experience. A good backup plan should include generators, UPS systems, spare cables, and a technical team ready to respond quickly.

Communication mistakes also create problems. When the organiser, production team, venue staff, and AV team are not aligned, the result is confusion on event day. Important details such as cue timings, stage entry, speaker order, and content playback should be clearly shared before the event. A strong technical checklist helps everyone stay on the same page and reduces last-minute stress.
